Planned Maintenance Administrator – Hampshire County Council Contract

Salary band: £18,000 – £20,000, (subject to knowledge and experience)
Permanent / 40 hours per week (Monday – Friday)
Location: Based at Winchester

Corrigenda are looking to recruit an enthusiastic Planned Maintenance Administrator. The successful candidate will be part of a small, dedicated team responsible for coordination and management of planned maintenance visits and acting as first line support for the client.

This is a busy role with key focus on ensuring that planned maintenance visits are completed, and that supporting documentation is checked and updated on our client database. This includes organisation and prioritisation of work schedules for multi-disciplined engineers / subcontractors delivering service in the field and chasing progression of those work.

They will be highly motivated, punctual, well-presented, organised, have excellent people and communication skills, make decisions and solve problems, able to react to rapidly changing scenarios whilst possessing excellent IT skills

Key Responsibilities Include
(but not limited to):

Prioritise and plan routine maintenance with customers
Ensure that only those appropriately qualified or experienced staff carry out services allocated to them efficiently, safely and to standard
Updating work schedules and the planner on Corrigenda’s system
Relaying instructions to engineers and collating details of works in progress
Liaise with contract managers and engineers to ensure effective communication
Liaise with external contractors to attend site and get updates on routine maintenance visits
Update and maintain assets & records ensuring all required documentation is completed and uploaded to the client CAFM system in a timely manner
Update client CAFM systems with work update for in house and sub-contracted works as required to produce client monthly reports
To support the handling and logging of client requests via telephone or email
Raise purchase orders for materials and subcontractors
Assist with other work activities when required and provide team cover during holidays/sickness
To contribute to implementing new working methods and actively participate in continuous improvement
General Administrative duties
Training will be given on all of the above

Knowledge, Experience and Skills:

Excellent written and verbal communication skills
Confident when speaking on the phone
Ability to prioritise and work under pressure
Ability to work as part of a small team to become a ‘Team Player’ whilst demonstrating initiative and ability to work independently
Ability to achieve high levels of customer satisfaction and build strong relationships with both clients and colleagues
Attention to detail
IT literate – must be confident in all Microsoft Office Packages particularly Excel
Previous experience working in a facilities role
Previous experience in using CAFM systems for call handling and task logging
Previous experience in quality assurance and/or compliance


Basic salary £18,000 – £20,000 (subject to knowledge and experience)
