Job Summary
The Senior Resource Scheduler is responsible for overseeing the effective planning, coordination, and monitoring of both reactive and planned maintenance activities. In addition to core scheduling responsibilities, this role provides day-to-day guidance to the scheduling team, supports performance management of PPM delivery, and ensures reporting, compliance, and client expectations are consistently met.
The role acts as a key point of escalation for operational issues, supports continuous improvement across scheduling processes, and plays an integral part in maintaining service delivery standards across all contracts.
Key Responsibilities Include
(but not limited to):
• Oversee the scheduling and coordination of reactive, PPM, and quoted works to ensure SLA compliance and efficient resource utilisation
• Monitor performance across PPM delivery, SLAs, and work in progress, proactively identifying and addressing risks or non-compliance
• Produce, review, and validate operational and client reports, ensuring accuracy and timely submission
• Provide day-to-day support, guidance, and escalation for the scheduling team, ensuring effective workload prioritisation
• Act as a key point of contact for internal stakeholders, including TSMs, CMs, CRMs, engineers, and subcontractors
• Maintain accuracy and integrity of CAFM systems, ensuring jobs, documentation, and records are up to date
• Support financial processes including cost and sales uploads, PO/VO tracking, and invoice query resolution
• Drive continuous improvement in scheduling processes, systems, and ways of working
• Provide cross-team support and cover during periods of absence or increased demand
• Any other tasks, within capabilities, as instructed by line manager
Knowledge, Experience and Skills:
Essential
• Previous experience in a Resource Scheduler (or similar) role
• Experience working in an SLA-driven environment
• Proficient in Microsoft Office, particularly Excel
• Ability to manage workload under pressure and meet deadlines
• Strong interpersonal and communication skills
• Ability to support and guide team members on a day-to-day basis
• Proactive and organised approach to work
Desirable
• Experience within a Hard FM or Facilities Management environment
• Previous experience in a senior or supervisory scheduling role
• Experience using BI/reporting tools
• Knowledge of financial processes such as PO/VO management and invoicing
• Experience supporting process improvement or system optimisation
