Job Summary
We are seeking a highly organised and proactive administrator/scheduler to take ownership of the Southampton City Council HIU PPM programme, while also coordinating all reactive and quoted works across the SCC estate.
This role combines the disciplined organisation of planned maintenance with the fast-paced demands of reactive scheduling. You will be responsible for ensuring that all HIU PPM appointments, engineer allocations, resident communications, documentation, and compliance requirements are fully managed. You will also schedule, monitor, and progress all SCC reactive and quoted works in line with
required SLAs.
Key Responsibilities Include
(but not limited to):
• Coordinate, schedule, and monitor the full annual HIU PPM program.
• Act as a lead point of contact within the Scheduling and PPM teams, providing guidance and support to colleagues.
• Arrange appointments directly with residents and ensure all booking information is accurate and up to date.
• Update and maintain all asset records and HIU documentation, ensuring compliance with SCC requirements.
• Review PPM reports and ensure all completed paperwork is returned on time and to the required standard before uploading to CAFM systems.
• Proactively identify process improvements within the SCC contract and lead on implementing new ways of working.
• Support monthly reporting by ensuring all PPM activities and documentation are fully updated on the client CAFM system.
• Schedule all reactive maintenance tasks and quoted works, assigning engineers and subcontractors as required.
• Monitor and triage urgent tasks, ensuring attendance within SLA and escalating issues when needed.
• Maintain daily “housekeeping” of the CAFM system, including unassigned tasks, overdue updates, or missing paperwork.
• Liaise with engineers, managers, subcontractors, and SCC representatives to obtain updates on works in progress, ensuring tasks are progressed and closed efficiently.
• Raise purchase orders for materials and subcontractors as required.
• Ensure only appropriately qualified resources are scheduled and that works are assigned efficiently and geographically.
• Answer inbound calls and respond to queries from SCC, residents, subcontractors, and engineers in a professional and timely manner.
• Assist with additional administrative tasks to support the wider team and provide cover during periods of absence.
• Provide accurate information for internal and client reporting.
Knowledge, Experience and Skills:
• Excellent attention to detail and accuracy.
• Strong organisational and prioritisation skills, particularly when working under
pressure.
• Confident and professional telephone manner with excellent verbal and written
communication skills.
• Strong problem-solving ability and confidence in making decisions independently.
• IT literate with strong competence in Microsoft Office, especially Excel.
• Experience using CAFM systems for job logging, updates, and reporting.
• Ability to work well as part of a small team but also independently using own
initiative.
• Experience in facilities management, scheduling, or compliance-driven
administration is highly beneficial.
