Contract Manager – Mechanical / Facilities Services - Surrey Area

Salary £36,800 to £43,900 (Subject to knowledge & experience)

Reporting to: Area Operations Manager

Corrigenda are looking for an enthusiastic and dedicated Contract Manager to manage the day-to-day service delivery of a portfolio of contracts within the Surrey, East Sussex and the surrounding areas, ensuring that contract Service Level agreements (SLA) and Key Performance Indicators (KPIs) are achieved.

The job is a predominantly non-productive based at our local Surrey office, with time spent on site with both the clients and our front-line teams, with occasional visits to our head office in Fareham.

The role includes the management of a team of multi-trade engineers and specialist sub-contractors to complete cyclic and reactive maintenance tasks, you will also be required to be professional and confident in a client facing environment and communicate effectively with stakeholders.

Key Responsibilities Include
(but not limited to):

Operational
• Oversee the daily delivery, implementation and on-going development of each of the contracts.
• Deputise for Electrical Contract Manager during periods of absence
• Manage the buildings within your portfolio to ensure that compliance, PPM, reactive works are completed within the required timescales and costs
• Be on our escalation out of hours call out rota
• Manage the delivery of the work onsite, organising labour and materials and carrying out onsite management
• Provide additional onsite support (extra pair of hands) where required to help efficient operation
• Provide technical and practical support to engineers
• Carry out site visits as required, look at works with a view to estimating time and materials
• Quoting works giving detailed breakdowns while defining exclusions and limitations
• Ensure labour resources are planned for the works and coordinated. Help develop realistic working programmes
• Keep daily check on labour resourcing to ensure smooth running of jobs and minimal waste of labour time onsite
• Site Materials: ensure materials are available for the works to proceed and check pre-ordered materials available. During site visits check material requirements for the jobs and order if required to ensure sites are kept fed with materials to avoid labour stoppages. Check material quality as per specification or client requirements and ensure timely delivery
• Check documentation / paperwork has been submitted and completed correctly
• Ongoing site monitoring of H&S compliance which includes inspections and compliance checks, including audits
• Required to produce RAMS (risk & method statements)
• Maintain a safe working environment for engineers, end users on site and general public at all times

Financial / Commercial
• Ensure purchase orders are raised in accordance with company policy and procedures for all reactive and planned maintenance works
• Pro-active work towards contract renewals and client retention
• Manage all financial aspects with respect to you area of the contract
• Ensure that outstanding debt is discussed with the clients on a regular basis

People
• Provide management/supervisory role to site staff, which would mean directing and managing staff, this will include involvement in staff reviews, disciplinary procedures and decisions on recruitment
• Develop team building ethos and lead by example
• Encourage effective communication between management, office-based staff and on-site engineers

Customer Satisfaction
• Communicate with customer ensuring customer satisfaction is maintained and site interruptions/disturbances are fully liaised to clients. Ensure customers are kept aware of work progress and any difficulties or changes that effect time, cost or quality
• Attend client meetings when required, this includes local drop ins of smaller sites
• Deal with queries from engineers, clients and end users in a professional and helpful manner

Corporate Policy & Procedures
• Develop and monitor office process and procedures in accordance with Corrigenda quality systems
• Implementation of all company policies and procedures
• Conduct of business activities in line with company policies and values

Knowledge, Experience and Skills:

Essential:

  • NVQ 3 in Mechanical
  • Proven experience of supervision of a team
  • Recognised Health and Safety training
  • Proven track record delivering high levels of customer satisfaction
  • Good practical and working knowledge of commercial heating / hot water systems
  • Good knowledge of quality assurance systems
  • Excellent people management skills
  • IT literate with packages such as Microsoft Word and Excel
  • Full driving licence
  • Pass DBS background checks for working in schools
