HR and Fleet Administrator - Whiteley
Reporting to: HR Manager
Job Summary
The HR team are looking for a pro-active and personable Fleet & HR Administrator to join the HR Team. The successful candidate will be responsible for assisting the HR department with a variety of HR Admin related tasks along with reviewing & auditing engineer time entries and assisting with the coordination of the company fleet
This is an office-based role in our Head Office in Whiteley.
Key Responsibilities and Development areas will Include
(but not limited to):
• Assisting the HR department with various HR & Payroll related tasks including assisting with employee’s induction, inviting candidates for interview, letter writing, ordering, and issuing of company uniform
• Calculating, checking, and amending time entries
• Recording of time entry discrepancies
• Liaising with engineers and team members to resolve discrepancies, such as, missing, and incorrect time entries
• Liaising with management for the approval of overtime claims
• Amending of time entries within SAP
• Recording and notifying HR of absences
• Liaise with the company’s external fleet provider
• Assist with ensuring that MOTs & Services are completed on time
• Assist with the reviewing and managing of lease agreements
• Assist with the Purchasing of new company vehicles
• Update fleet asset information and vehicle logs
• Record vehicle damages and, where required, assist with arranging repairs.
• Liaise with vehicle insurers regarding incidents and maintain vehicles on the policy
• Review and maintain company insurance portal
• Carry out fleet tracker audits
• Issue driver identification fobs
• Ordering of fuel cards
• Collaboratively work with our HR and the company’s fleet provider to ensure timely delivery of vehicles
• Assisting with other administration when required
Knowledge, Experience and Skills:
• IT Literate with outstanding Microsoft Excel skills and knowledge
• Excellent written and verbal communication skills
• Proven experience of handling high volumes of administration work
• Ability to prioritise and work under pressure
• Exceptional level of attention to detail and accuracy
• Resilient and resourceful
• Personable, proactive and able to build rapport at all levels
• Able to offer solutions to problems that have been identified
• IT literate – must be confident in all Microsoft Office Packages
