Job summary
The PPM Compliance & Asset Manager is responsible for leading the PPM Administration Team and ensuring contractual compliance across planned maintenance activities. The role provides oversight of PPM performance, certification governance, asset management, CAFM data integrity, resource planning, and commercial support to ensure statutory and contractual obligations are achieved.
The role acts as the central point of control for compliance reporting, asset data management, maintenance certification, and PPM performance improvement across the contract.
Key Responsibilities Include
(but not limited to):
Team Leadership
• Lead and develop the PPM Administration Team.
• Manage workloads, performance and team development.
• Support recruitment, training and employee wellbeing.
Commercial Management
• Review and validate monthly applications and supporting compliance evidence.
• Identify and support asset, compliance and maintenance-related contract variations.
• Provide asset, compliance and maintenance data to support commercial submissions and pricing reviews.
• Work with operational and commercial teams to ensure asset register changes, maintenance frequencies and statutory requirements are accurately reflected within contract pricing.
• Support revenue protection through effective management of certification, compliance records and asset data.
• Assist in identifying and managing commercial risks associated with compliance, documentation and asset governance.
Compliance Management
• Monitor PPM performance and contractual compliance.
• Manage overdue activities and compliance recovery plans.
• Escalate risks and support operational teams to achieve targets.
Certification & Documentation
• Oversee maintenance certification and compliance documentation.
• Ensure documentation is accurate, complete and submitted on time.
• Support internal and external audit requirements.
Asset & CAFM Management
• Maintain asset data integrity within CAFM systems.
• Manage asset changes, reconciliations and reporting.
• Support lifecycle planning and data governance.
Resource Planning
• Support PPM resource planning, workload forecasting and delivery scheduling.
• Review future maintenance workloads and resource requirements.
• Coordinate workload balancing and recovery planning activities.
• Work closely with operational teams to support compliance delivery.
Governance & Continuous Improvement
• Chair performance review meetings and produce management reports.
• Monitor actions and drive performance improvements.
• Support mobilisation, transition and continuous improvement initiatives.
Knowledge, Experience and Skills:
Essential
• Experience managing compliance, administration or asset management functions within Facilities Management.
• Strong understanding of planned maintenance (PPM) processes and statutory compliance requirements.
• Experience using CAFM systems and managing asset data.
• Strong people management and leadership skills.
• Excellent organisational, analytical and reporting abilities.
• Strong stakeholder management and communication skills.
• Proficient in Microsoft Office, particularly Excel.
Desirable
• Experience supporting commercial applications and contract variations.
• Knowledge of SFG20 and statutory maintenance requirements.
• Experience managing compliance documentation and certification processes.
