PPM Compliance Supervisor

Permanent / 40 hours per week (Monday – Friday)

Salary band: £28,000 – £35,000 (subject to knowledge and experience)

Location: Based in Portsmouth 

Reporting to: PPM Compliance Manager 

The Role

Corrigenda are looking to recruit an enthusiastic and dedicated PPM Compliance Supervisor responsible for overseeing the planned and preventative maintenance (PPM) activities on a busy multi-disciplined contract for Portsmouth City Council.

The role requires good organisational and interpersonal skills, with good understanding of planned maintenance process and procedures. Training will be provided on company process, procedure and CAFM system/reporting tools. This role is also responsible for line management of the team’s Business Admin Apprentice and deputising for the PPM Compliance Manager. There is a requirement to travel to other offices on occasion.

 

Key Responsibilities and Development areas will Include
(but not limited to):

Operational
• Deputise for the PPM Compliance Manager
• Ensure PPM is scheduled in and completed on time with KPI’s being achieved with shortfalls being identified
• Raise any resource issues within good time to PPM Compliance Manager and work together to resolve
• Build strong relationships with both internal engineers and external subcontractors in relation to PPM processes
• Work closely with Technical Service Managers on any technical or resource issues
• Assist with invoice applications to the client
• Support with producing monthly client report
• Work closely with the PPM Compliance Manager to run performance stats for the PPM team and discuss improvement areas
• Manage aged jobs, communicating with the PPM Compliance Manager to ensure all jobs are in progress
• Ensure any client database systems are correctly updated with progress of jobs and the information we are providing is accurate
• Act as an escalation point for PPM Admin on specialist sub-contractor update queries, escalating through the correct channels where required
• Expected to offer suggestions for any noted process improvements and develop the new procedures
• Seek and respond to customer feedback
• Be a systems super user – providing support and training to the team
• Assist with the recruitment of new team members where required
• Minute taking and distributing for client and internal meetings
• Asset and property management – ensure all information for asset and property changes are accurately reflected in the system

 

People
• Establish high morale, passion and enthusiasm within the team including engineers
• Work with the PPM Compliance Manager to ensure the PPM Admin team have cover at all times and can function normally to cover periods of sickness and holiday
• Encourage effective communication between management, admin staff and other colleagues within the business
• Be a responsible contact for the client for any invoicing or administration related queries
• Line management responsibility for Business Admin Apprentice to include annual reviews

 

 

Knowledge, Experience and Skills:

• PPM/Asset Experience is desirable
• Experience in a similar role would be beneficial
• Analytical experience to drill down into large volumes of data
• Good knowledge of a facilities maintenance environment
• Good organisational and interpersonal skills
• Ability to communicate at all levels
• Develop good and effective relationships with all aspects of the business internally and externally
• Flexible attitude and proactive nature
• Excellent written and verbal communication skills
• Able to work both independently or as part of a team
• Attention to detail
• Ability to use and teach Microsoft operating systems, Microsoft Office applications (Excel, Outlook, PowerPoint, Visio and Word) and Microsoft Publisher
